Tricrown Information Solutions, LLC - tricrowninfo.com

Effective date: July 25, 2026

1. Introduction

Tricrown Information Solutions, LLC ("Tricrown," "we," "us," or "our") provides research, accreditation and evidence management, grant finding and writing, online courses, SEO and web accessibility, information literacy training, and related information consulting services. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit tricrowninfo.com (the "Site") or otherwise interact with us, such as by submitting a contact form, booking a consultation, or engaging us as a client.

2. Relationship to Client Agreements

This Privacy Policy governs the Site and our general business communications, such as inquiries, newsletter sign-ups, and pre-engagement conversations. It is separate from, and does not replace, the confidentiality, scope, and data-handling terms set out in a signed Client Agreement for Research & Information Services.

If you become a client, the terms of your signed Client Agreement govern how project-related information you share with us during that engagement is used, stored, and protected. Where the two documents address the same topic, the signed Client Agreement controls for matters within its scope.

3. Information We Collect

Information You Provide Directly

  • Contact information, such as your name, email address, phone number, and organization, when you fill out a contact or intake form, book a call, or email us.
  • Information you share in the course of an inquiry or engagement, such as project details, goals, and any documents you choose to send us.
  • Payment and billing information, if you become a client (processed through our invoicing or payment provider; we do not store full payment card numbers ourselves).
  • Newsletter or mailing list details, if you choose to subscribe.

Information Collected Automatically

  • Basic technical data such as IP address, browser type, device type, referring page, and pages visited, collected through standard website hosting logs and/or analytics tools.
  • Cookies and similar technologies used to support Site functionality and, where applicable, to understand how visitors use the Site (see Section 5).

Information From Third Parties

  • If you book a call or submit a form through a third-party scheduling, form, or email platform, we may receive the information you provide to that platform.

4. How We Use Information

We use the information we collect to:

  • Respond to inquiries and provide requested information about our services
  • Schedule and conduct consultations
  • Deliver, manage, and invoice for client engagements
  • Maintain and improve the Site, including its usability and accessibility
  • Send updates, newsletters, or marketing communications, where you have opted in, and which you may unsubscribe from at any time
  • Comply with legal, tax, and accounting obligations
  • Protect the security and integrity of our Site and business operations

We do not sell your personal information.

5. How We Share Information

We do not share your personal information except in the following circumstances:

  • Service providers: With vendors who help us operate our business, such as website hosting, email, scheduling, invoicing, and payment processing providers, solely to perform services on our behalf.
  • Legal requirements: When required to comply with applicable law, regulation, legal process, or governmental request.
  • Business transfers: In connection with a merger, acquisition, or sale of business assets, subject to standard confidentiality protections.
  • With your consent: In any other case where you have given us permission to share your information.

Client project information is handled according to the confidentiality terms in your signed Client Agreement and is not shared with third parties except as necessary to deliver the agreed services or as required by law.

6. Cookies and Analytics

The Site may use cookies or similar technologies to support basic functionality and, if enabled, to gather aggregate analytics about how visitors use the Site (for example, which pages are most visited). You can control cookies through your browser settings; disabling cookies may affect some Site functionality.

7. Data Security

We use reasonable administrative and technical safeguards designed to protect the information we collect. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.

8. Data Retention

We retain personal information for as long as necessary to fulfill the purposes described in this Policy, including to provide services, maintain business and tax records, and comply with legal obligations. Client project records are generally retained consistent with the terms of the applicable Client Agreement and applicable recordkeeping requirements.

9. Your Choices and Rights

Depending on your location, you may have rights to access, correct, delete, or restrict the use of your personal information, or to opt out of certain communications. To exercise any of these rights, contact us using the information in Section 14. We will respond to verifiable requests in accordance with applicable law.

You may unsubscribe from marketing emails at any time using the unsubscribe link included in those emails.

10. Additional Information for EU/UK Visitors (GDPR)

If you are located in the European Economic Area (EEA), the United Kingdom, or Switzerland, the General Data Protection Regulation (GDPR) and UK GDPR give you certain rights over your personal data, and Tricrown acts as the "data controller" for personal data collected through the Site.

Legal bases for processing

  • Consent — for example, when you opt in to receive our newsletter or marketing emails.
  • Contract — to respond to your inquiry, schedule a consultation, or perform a service you've requested or engaged us for.
  • Legitimate interests — such as maintaining Site security, understanding general Site usage, and communicating about services you've inquired about, balanced against your rights and interests.
  • Legal obligation — where we need to retain records for tax, accounting, or other legal requirements.

Your GDPR rights

Subject to certain exceptions, you have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request erasure of your data ("right to be forgotten")
  • Restrict or object to certain processing, including processing based on legitimate interests and direct marketing
  • Request a portable copy of data you provided to us
  • Withdraw consent at any time, where processing is based on consent, without affecting processing that occurred before withdrawal
  • Lodge a complaint with your local data protection supervisory authority

International transfers: Because Tricrown is based in the United States, personal data from EEA/UK visitors may be transferred to and processed in the United States. Where required, we rely on appropriate safeguards (such as standard contractual clauses used by our service providers) for such transfers.

To exercise any GDPR right, contact us using the information in Section 14. We will respond within the timeframes required by applicable law.

11. Additional Information for California Residents (CCPA/CPRA)

If you are a California resident, the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), gives you certain rights regarding the personal information we collect about you.

Categories of personal information we collect

In the past 12 months, depending on how you interact with us, we may have collected the following categories of personal information, as defined under the CCPA: identifiers (such as name, email address, phone number, and IP address); commercial information (such as services inquired about or purchased); internet or other electronic network activity (such as Site usage data); and professional or employment-related information you choose to share in the course of an inquiry or engagement (such as your organization and role).

We collect this information for the business purposes described in Section 4 (How We Use Information) — namely, to respond to inquiries, provide and manage services, communicate with you, and operate and improve the Site.

Your CCPA/CPRA rights

Subject to certain exceptions, California residents have the right to:

  • Know what personal information we have collected, used, disclosed, and (where applicable) sold or shared about you
  • Delete personal information we have collected from you
  • Correct inaccurate personal information
  • Opt out of the sale or sharing of personal information — Tricrown does not sell or share personal information for cross-context behavioral advertising
  • Limit the use of sensitive personal information — Tricrown does not use sensitive personal information beyond what is necessary to provide requested services
  • Not receive discriminatory treatment for exercising any of these rights

To exercise any of these rights, contact us using the information in Section 14. We may need to verify your identity before completing certain requests. You may also designate an authorized agent to make a request on your behalf, subject to verification.

12. Children's Privacy

The Site is intended for a general business and adult audience and is not directed to children under 13 (or under 16, for purposes of the CCPA's opt-in requirements for the sale or sharing of personal information). We do not knowingly collect personal information from children under 13, and we do not knowingly sell or share the personal information of minors under 16. If you believe a child has provided us with personal information, please contact us so we can delete it.

13. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or operational reasons. The "Effective Date" above indicates when this Policy was last revised. Material changes will be posted on this page.
